Sales Funnel: Stages and a Small Business Example

    October 12, 20269 min

The owner of a nail studio in Podil spends UAH 8,000 on advertising each month and sees 15 new clients. The owner does not know if that is low or normal. The owner also does not know what to fix: the ads, the Instagram page, or the administrator who answers slowly. A sales funnel answers this question. It shows the customer's path step by step and the place where customers disappear.

This article covers the sales funnel stages, a ready example for a local business in Kyiv, and a table that shows which channel works at which stage.

    What a sales funnel is

A sales funnel is a model of the customer's path from the first contact with a brand to a purchase and a repeat visit. Each stage has fewer people than the stage before it. That is why the model has the shape of a funnel.

You need a funnel for three things:

    • To count. You see how many people move from stage to stage.
    • To find losses. You see the stage where the most people disappear.
    • To allocate budget. You give money to the stage that slows down sales.

A marketing funnel and a sales funnel describe the same path. Marketers speak more about the upper stages (attention, interest). Salespeople speak more about the lower stages (lead, payment). A small business needs only one shared funnel.

    Sales funnel stages: 5 steps

The classic model is AIDA: attention, interest, desire, action. A local business benefits from a fifth stage — the repeat purchase. That stage brings the profit for a coffee shop, a salon or a car service.

Stage What the customer does What the business does Metric
    1. Awareness Sees the brand for the first time Shows ads where the audience spends time Reach, impressions
    2. Interest Remembers, searches on Google or Instagram Repeats the contact, gives a simple reason to click Clicks, QR scans, brand searches
    3. Consideration Compares prices, reads reviews Shows prices, photos of work, map reviews Inquiries, leads
    4. Purchase Books, visits, pays Answers fast, makes booking easy Sales, average check
    5. Retention Comes back, recommends to friends Sends reminders, gives a second-visit bonus Share of repeat visits

Each stage has its own task and its own metric. A typical mistake is to demand immediate sales from the top stage. Awareness advertising creates demand. The bottom stage closes the sale.

A sales funnel example for a local business

Let us return to the nail studio in Podil. The numbers below are an illustrative calculation, not data from a real client. They show the logic.

Stage Number of people Conversion from the previous stage
    Saw the ad 12,000 —
Visited the page or scanned the QR code 360 3%
    Wrote or called 72 20%
    Came for a first visit 36 50%
    Came a second time 18 50%

Now the owner sees the full picture. Half of the people who wrote did not reach a visit. This is the most expensive loss: these people already wanted to book. The cause is usually simple — a slow reply, an inconvenient booking process, or no free time slots.

Calculate the result of two decisions:

    1. The owner doubles the ad budget. The studio gets 72 first visits instead of 36, but pays twice as much.
    2. The owner raises the lead-to-visit conversion from 50% to 75%. The studio gets 54 first visits with no extra ad spend.

The second decision is cheaper. After it, the owner can increase the budget, and every hryvnia will bring more.

How to build a sales funnel: 5 steps

    1. Write down the customer's path. Take your last 5–10 customers and ask where they saw you and what they did next.
    2. Choose one metric for each stage. Do not collect ten indicators. Five numbers a month are enough.
    3. Collect data for one month. The ad account or the media owner's report gives impressions. The administrator counts leads. The CRM or the booking notebook holds visits and repeat visits.
    4. Find the weakest stage. Compare the conversions with each other. The stage with the largest drop is your priority.
    5. Change one thing and measure again. If you change three things at once, you will not know which one worked.

Before the first step, define exactly who you are looking for. The article "Target audience for advertising: from portrait to place" helps with that.

Which channels work at which stage

No single channel covers the whole funnel. Search ads catch people who already look for the service. They do not create new interested people. A screen in a coffee shop builds brand familiarity, but it does not take the booking.

    Stage Channels that work
Awareness Screens in neighbourhood coffee shops and bars, signage, social media, referrals
Interest Repeated screen impressions, a QR code, the Instagram page
Consideration Google Maps profile, reviews, a website with prices
Purchase Online booking, messenger, phone, branded search ads
Retention Messenger broadcasts, a loyalty programme, ads in nearby venues

For a local business, the top of the funnel must be geographically narrow. A salon in Podil does not need impressions in Troieshchyna. It needs people who live or work within a 10–15 minute walk.

Where HostAd screens work in the funnel

HostAd is a network of digital screens in coffee shops and bars in Kyiv. The map now shows 29 screens across the city: Podil, Obolon, Solomianka, Holosiiv, the centre. A guest waits for an order or sits at a table and sees your video several times during one visit.

The screens cover the two upper funnel stages:

    • Awareness. You choose venues in your district. People who are physically near your business see the ad.
    • Interest. Coffee shop regulars see the video every week. Repeated contact builds brand memory. Read more in "Brand awareness: frequency matters more than reach".

The most useful tool for the funnel is a QR code on the creative. HostAd counts scans for each screen. You get a measurable step from "saw it" to "got interested", which is rare for offline advertising. The article "QR code in indoor advertising" explains how to make a QR code that people scan.

The terms are simple for a small business:

    • You see the price before you book. Each screen on the map shows the owner's price. There is no agency markup.
    • One-month booking. One month is enough to collect the numbers for your funnel.
    • Launch without an agency. You choose a screen on the map, upload the video and pay online.

    5 mistakes in funnel work

    1. Counting only sales. Without the upper stages you do not see where customers will come from next month.
    2. Putting everything into the bottom stage. Search ads end where demand ends. New people do not learn about you.
    3. Demanding sales from the first contact. A person rarely books after one impression. Several contacts are necessary.
    4. Not measuring the steps between stages. Add a QR code, a promo code, or the question "how did you hear about us".
    5. Forgetting the fifth stage. Bringing a customer back costs less than finding a new one. The methods are in "Advertising for repeat visits".

    Summary

A sales funnel is five numbers that you collect once a month. It shows where the business loses customers and where to put the next hryvnia. First fix the weakest stage. Then widen the top of the funnel in your district.

Start with a top stage that you can measure. Open the HostAd map, choose screens in coffee shops near your business, and launch a one-month test with a QR code.
